The reality today

A client sends three documents by email, one as a WhatsApp attachment, and calls to say a fourth is in the post. Someone on the team has to monitor all three channels, acknowledge receipt, file each document against the right matter, and check whether anything is missing. This happens for every client, every matter, every week.

What we build

A document intake system that receives files from every channel, acknowledges receipt to the client automatically, names and files each document against the correct matter, and flags what is still outstanding. Nothing is chased manually. Nothing is filed in the wrong place.

Matter status updates

The reality today

A client emails asking where their matter stands. A fee earner has to locate the file, recall the current position, draft a reply, and send it — sometimes while mid-task on something else. Multiply this across a caseload, and a meaningful share of the week disappears into status correspondence.

What we build

A client-facing update system that allows clients to see where their matter stands without contacting the firm. The system is connected to the matter records and updates as milestones are reached. Anything requiring a substantive response is flagged with full context attached.

  • Status calls and emails drop.

Billing and time capture

The reality today

Billable time is recorded at the end of the day, or the end of the week, or reconstructed from emails and calendar entries when the bill is being raised. The gap between time spent and time billed is real, consistent, and never in the client's favour.

What we build

A time capture system that prompts fee earners to log time at natural break points throughout the day — through the channel they already use. Unbilled time is surfaced before bills are raised. Write-offs are tracked and reported so the pattern is visible.
